    Can I Edit the Roles of Existing Users?

    You are able to edit the roles of existing users on the Playroll platform. Follow the simple
    steps outlined below:

    Follow these steps to edit the roles of existing users in the Playroll platform:

    1. Log in to the Playroll platform.
    2. Select 'Settings' at the bottom of the Navigation Panel on the left-hand side of the screen.



     

     

    3. Select the 'Users' tab and locate the user whose permissions you want edit. Once located, select the the pencil icon.


    4.  A dropdown menu will appear, allowing you to amend the specific permissions for the relevant user.


    5. After updating the permissions, click 'Save' to apply the changes.

    How to Change the Primary Authorised Signatory in Playroll

     

    Update the primary authorised signatory in Playroll in 2 steps via Settings > Company and save the new details.

    You can change the primary authorised signatory directly within your company settings. Follow the steps below to replace the current signatory with a new authorised representative.

     

    Update the Authorised Signatory

    ✅ Step 1 – Open Company Settings

    Navigate to Settings and select the Company tab. Locate the current Authorised Signatory and click the Pencil icon next to their name to begin editing.

    ✅ Step 2 – Enter the New Signatory Details

    Replace the existing signatory’s details with the new authorised signatory’s information. Once all required fields are updated, click Submit to save your changes.

    The updated signatory will immediately be reflected in your company records.

    How to Enable Notifications for Employee Leave and Expense Requests

    Enable notifications in your profile settings to receive alerts for employee leave and expense requests.

    If you are not receiving notifications for your employees’ leave or expense requests, your notification preferences are likely turned off. You can resolve this by updating your notification settings in your profile.

    Turn On Notification Preferences

    ✅ Step 1 – Open Settings

    Select the Settings tab from the navigation panel.

    Select the Profile tab as shown below.

    ✅ Step 3 – Locate Notification Preferences

    Scroll down to the Notification Preferences section on your profile page.

    ✅ Step 4 – Turn On Relevant Notifications

    Ensure the toggle switch next to each relevant notification is moved to the right and displayed in blue. A blue toggle indicates that notifications are enabled.

    If the toggle is grey, notifications for that item are turned off and you will not receive alerts.

     

    Confirm Your Notification Settings

    After enabling the appropriate toggles, you will begin receiving notifications for employee leave and expense requests moving forward.

    Keeping your notification preferences enabled ensures you stay informed and can promptly review and approve employee requests.

    How do I add an authorised signatory?

    Example: You need a specific person to sign an addendum for a contractual change (for example, a salary increase).

    Before you start

    • Only users with the correct admin permissions can manage signatories in Settings.
    • You must add the signatory at company level and assign them to the relevant team(s) before they will receive signature requests.

     

    Steps to add an authorised signatory

    ✅ Step 1 – Open Settings

    Click Settings on the left-hand menu.

    ✅ Step 2 – Add the signatory under Company

    In Settings, navigate to the Company section. Under Authorised signatories, enter the required details, then click Add Signatory in the blue block.

    ✅ Step 3 – Edit the team where the signatory should apply

    Navigate to the Teams section. Search for the relevant team, click the three dots on the right-hand side of that team, then select Edit.

    ✅ Step 4 – Assign the authorised signatory and save

    Select the applicable Authorised Signatories and Employees from the drop-down lists, then click Save Team.

    Important note about existing changes

    Changes initiated before you add a new authorised signatory will not automatically route to the new signatory.

    • Either get the current authorised signatory to approve the pending changes before adding the new signatory, or
    • Re-initiate the change after the new signatory is added by making the same change(s) on the platform again, so the request is sent to the new signatory for signature.
    How to Approve or Decline Leave Requests

    Managers can review, approve, decline, or undo employee leave requests directly from the Leave Management section.

    ✅ Step 1: Go to the Employees Tab

    Select the "Employees" dropdown from the left-hand navigation panel.

    Click on the "Leave" sub-category. A notification icon will appear if there are any pending requests.

    This opens the Leave Management screen where you can view the duration, type, and reason for each leave request.

    To approve a request, click the Green check mark. To decline, click the Blue X mark.

    Click on the "i" icon to view more information about the leave request.

    Once a request is approved, the employee will be notified. To undo the decision, click the Blue backwards arrow.

    Approve or decline employee expense requests by accessing the Expenses tab under Employees in the Playroll platform.

    How to View Country-Specific Employment Guidelines

    You can view country-specific employment guidelines, including public holidays, using the Country Playbooks tool on the Playroll platform. Follow the steps below to access this feature.

    The Hiring Guide provides detailed insights into local employment conditions, including a list of public holidays under that country’s employment terms.

    How Employees Access Their Monthly Pay Slips

    Employees can securely view and download their monthly pay slips in Playroll using their unique login credentials.

    Can Employee data be viewed via the Playroll platform?

    Due to strict data protection laws across various territories, Playroll does not display employee personal data on the client-facing portal unless the employee has explicitly consented to sharing specific information.

    Consent-Based Data Access

    During the onboarding process, employees are given the opportunity to consent to the sharing of certain personal information with their employer. If consent is granted, you will be able to view:

    • The signed employment agreement
    • Employee payslips

    Only the data categories explicitly approved by the employee will be visible on the platform.

    Why Consent is Required

    This practice ensures compliance with global data privacy laws such as GDPR and similar regulations. It protects employee privacy while offering you access to essential employment records, when permitted.

    If an employee has not provided consent but you need specific information, contact our Support team. They will facilitate access through secure and compliant channels.

     

    How Employees Request Leave and Expense Reimbursements

    Employees will be able to log their leave requests and requests for expenses directly on the Playroll platform. The employee's approver will then be notified to approve or decline the request.

     

    Please note the cut off date for the approval of expenses to be included in the current month's salary is the 10th of the month.

    No, you don’t need to be an expert in local labour laws to hire internationally through Playroll. The platform is designed to guide you through compliant hiring practices in every supported country.

    When you add a new employee, Playroll prompts you to complete their employment terms. For each section—such as working hours, notice periods, and benefits—the system provides:

    How to make changes to an employee's contract on the Platform?

    You can make changes to an employee's contract by logging in to the Playroll Platform and following the steps outlined below.

    1. Navigate to the Employees dropdown list on the left-hand panel of the screen.

    1. Select Contracts. This will display all employees on your main screen.

    1. Use the Search for a specific employee filter to locate the individual whose contract needs to be updated.
    2. Once found, click the Make Changes button to the right of their profile.
    3. Make the required edits and proceed to Step 2: Compensation & Legalities.

    1. Update the terms of employment as needed. Then proceed to Step 3: Sign & Add Addendum.

    If you are the authorised signatory, you can sign the addendum directly. Otherwise, clicking the button will send the document to the designated signatory for completion.

    Please note that the addendum needs to be signed by the authorized signatory before any changes take effect. 

    For any changes to be effective within the month the addendum needs to be signed before the cut off. If signed after the cut off the changes will only be effective from the first of the following month.

    Using the Cost Calculator on Playroll

    The Playroll Cost Calculator provides an estimated breakdown of all applicable taxes and the total cost to company when hiring in a selected country. This tool helps you assess financial implications before making international hiring decisions.

    How to Access the Cost Calculator

    1. Log into your Playroll account.
    2. Navigate to the Tools section from the main dashboard.
    3. Select the Cost Calculator tool.

    • Employer social contributions
    • Employee tax deductions
    • Total cost to company
    • Estimated net salary for the employee

    The figures provided are preliminary estimates and may vary based on individual circumstances such as residency status, benefits, and applicable local tax regulations. Final calculations will be confirmed during the onboarding process.

    Adding users to the Playroll Platform

    You can add users to your company profile on the Playroll platform by following the steps below:

    1. Enter the user's name and email address. Choose their access level as either Read only, Admin, or Approver.

    1. The invited user will receive an email from noreply@playroll.com with a link to set up their password and log in. They will then have access to your company profile.
    How to Add an Employee

    You can add an employee to the Playroll platform by following the steps below:

    1. Click the Add Member button located at the top right of your screen, then select Add Employee.

    1. This action will launch the employee onboarding flow. Begin by filling in the employee’s basic information in Step 1.

    1. Once Step 1 is completed, click on Step 2: Compensation & Legalities.
    2. Fill in the required compensation and legal details. After completing this section, click on Step 3: Sign & Add Addendum to MSA.

    1. If you are the authorised signatory, you can sign the addendum immediately to complete the onboarding. If not, clicking the Approve Terms button will automatically send the addendum to the authorised signatory. Once signed, the platform will reflect the updated status.
    How to log an Incentive/Bonus for an employee?

    Record and manage employee incentives, bonuses, and commissions through Playroll to include them in the correct monthly payroll.

    You can easily log and manage incentives, bonuses, or commissions for employees directly through the Playroll platform. These entries are automatically included in the employee’s payroll for the selected month, ensuring accurate and timely payments.

    Log an Incentive or Bonus in Playroll

    ✅ Step 1 – Go to the Employees Tab

    Navigate to the Employees tab in the main navigation pane and select Incentives from the available options.

    Choose the employee who will receive the incentive or bonus. This ensures the payment is correctly attributed to their payroll profile.

    ✅ Step 3 – Enter the Incentive Details

    Input the incentive amount in the appropriate field (either Commission or Performance Bonus) depending on the payment type.

    Click the Save button to confirm and record the entry. Once saved, the incentive will be processed in the employee’s next payroll cycle.
