    Understanding Negative Leave Balances in Playroll

    A negative leave balance occurs when employees take more leave than accrued, potentially impacting payroll and final payouts.

    This article explains what negative leave balances mean, how they affect payroll, and how Playroll policies handle them.

    What Does a Negative leave Balance Mean?

    A negative leave balance happens when an employee uses more paid time off than they have earned. For example, if an employee has accrued 8 days but takes 10, their balance will display as -2. This indicates the employee has used leave in advance of their accrual.

    Will This Affect Payroll or Payslips?

    A negative leave balance may influence payroll depending on company policy and applicable labor laws. When an employee exceeds their entitled leave, Playroll automatically records the deficit. To confirm salary impact or adjustments, contact Playroll support.

    Can I Turn Off Negative Leave Balances or Change the Settings?

    Negative leave tracking applies automatically to all employees under accrual-based leave policies. This feature cannot be disabled or manually overridden, ensuring consistent and transparent leave tracking across your organization.

    What If My Company Offers Unlimited Leave?

    Employees on unlimited leave plans do not see accrual or negative balances. Unlimited leave policies operate without tracking accrued hours, so this article only applies to accrual-based leave structures.

    Does a Negative Balance Affect Salary Payouts Upon Termination?

    If an employee leaves after taking more leave than accrued, the negative balance may lead to a deduction from their final salary payout. This deduction is subject to local employment regulations and internal HR policies.

    Where to View your Upcoming Public Holidays

    You can easily view your entitled public holidays directly from your dashboard and leave calendar within the Playroll platform.

    When applying for leave, public holidays are visually highlighted in green on the calendar interface. This ensures you don’t accidentally use leave on a public holiday.

    How to Cancel a Pending Leave Request

    Cancel a pending leave request by going to “My Leave” and clicking the ❌ next to the request before it's approved.

    Follow These Steps to Cancel a Leave Request

    ✅ Step 1: Go to the My Leave Section

    From the left-hand navigation panel, click on the “Leave” dropdown and select “My Leave.”

    ✅ Step 2: Locate Your Pending Leave Request

    Scroll to the bottom of the page to find the list of leave requests that are currently pending approval.

    ✅ Step 3: Cancel the Leave Request

    Click the "X" icon located at the right end of the pending leave summary to cancel the request.

    ✅ Step 4: Check the History Tab

    Once cancelled, your leave request will appear under the “History” tab for reference and record-keeping.

    By following these steps, you ensure that your leave data remains accurate and properly tracked in the Playroll system.

    How to Apply for Leave in the Playroll Platform

    To apply for leave, log in to your Playroll account and follow the steps below:

    Step 1: Open the Leave Dropdown

    From the home page, select the "Leave" dropdown from the navigation panel on the left-hand side of the screen.

    Step 2: Select "Apply for Leave"

    Click on the "Apply for leave" tab.

    Step 3: Choose Your Leave Type

    Use the dropdown menu to select the type of leave you want to apply for.

    Step 4: (Optional) Enter a Reason

    You can add a reason for your leave request in the "Reason" box, though this is not mandatory.

    Step 5: Select Leave Dates

    Choose your start and end dates using the calendar tool. You can also specify whether the leave applies to full or half days.

    Step 6: Upload Supporting Documents

    If required, you can upload files such as medical notes using the "Upload Supporting Documents" button.

    Step 7: Review the Leave Summary

    The "Leave Summary" at the bottom of the page displays the leave to be deducted (green), your remaining balance (purple), and any holidays during the selected period (orange).

    Step 8: Submit Your Application

    Once all details are complete and correct, click "Submit Application". Your request will be sent to the designated approver for review.

    Viewing Your Leave Cycle in the Playroll Employee Platform

    Follow the steps below to access details about your leave accrual, cycle, and apportionment.

    Step 1: Open the Leave Dropdown

    Select the "Leave" dropdown from the navigation panel on the left-hand side of the screen.

    Step 2: Go to My Leave

    Select the "My leave" sub-category from the dropdown.

    Step 3: Click the Details Button

    On the Leave Balance screen, select the "Details" button at the bottom of the relevant leave type summary block.

    Step 4: Click the "i" Icon

    Select the "i" icon within the detailed view as shown below.

    Step 5: Review Leave Cycle Summary

    Clicking the "i" icon opens a summary displaying how your leave accrues, the dates of your leave cycle, and details on apportionment.

    Missing Leave Category on Playroll Platform
